Data Privacy and Educational Records

The Family Rights and Privacy Act limits access to student data. All actions concerned with Minnesota State College Southeast data collection and storage are administered in compliance with the provisions of both state and federal law. Private Data 

  • All requests for private data must be submitted in writing, with intended usage indicated, providing an authorized school official is present at that time.
  • Private data must be provided to authorized recipients; the college may assess a processing fee for providing private/public data.

Public Data

Public, non-confidential, and summary data will be made available upon request.

  • College Directory Information includes the student's name, city, major field of study, participation in recognized activities and sports, dates of attendance, graduation date, and degrees and awards received. 
  • College faculty and staff use College Limited Directory Information to contact students who are or have been enrolled in any college or university in the Minnesota State system. Limited Directory Information includes, but is not limited to, student email addresses and student StarID numbers. 
  • Certain information may also be shared with LeadMN, the association of Minnesota 2-year public college students, so the association can communicate with its members. This information may include student name, e-mail address, and student status (new student, returning student, etc.). 

Confidential Students

A student who does not wish their Directory Information to be released should complete the Authorization to Withhold Directory Information Form. Once completed, Southeast will not release information about your participation in the college to any member of the public.

A student who requests the suppression of their Directory Information will also be deemed to have requested suppression of their Limited Directory Information. Their information will not be shared with LeadMN.

Note: Use of your student email account may compromise student confidentiality. You can contact the Information Technology Helpdesk ([email protected]) to request that your name be removed from the email system.

Release Without Consent

As required or permitted by law, Minnesota State College Southeast may release personally identifiable information in an education record without consent. For example, records may be shared in an emergency, a law enforcement situation, or among college school officials with a legitimate educational interest in them.
